An NEC Birmingham chauffeur works best when you book it around the event’s schedule, not as a single ride. For a conference or exhibition, that means agreed arrival times for delegates, a drop-off plan for speakers and a daily routine for exhibitor teams, with one booker and one invoice. The NEC has one rule that shapes all of it: private hire cars other than its official partner, including ours, drop off at the Piazza or the Atrium.
This guide covers where cars stop, when a chauffeur beats the Air-Rail Link, and how to plan for delegates, speakers and exhibitors. It also covers booking and invoicing a whole event.
Details last checked on 3 November 2026. Drop-off arrangements and travel notices can change, so check the NEC’s visitor pages and your organiser’s instructions before the event.

When a chauffeur makes sense at the NEC
When the Air-Rail Link is the better choice
If you land at Birmingham Airport with one bag and a meeting at the NEC, the free Air-Rail Link is the fastest and cheapest way to get there. It runs every two minutes and takes about 90 seconds to reach Birmingham International. We say so on our Birmingham Airport to the NEC guide, which covers the short hop in detail.
When a chauffeur is worth booking
A chauffeur earns its place when the journey is more than a two-mile hop. That includes these situations:
- Arrivals from other airports or cities, where the car continues straight to the NEC with no changes.
- Groups, where one vehicle or a matched set of cars keeps a team together.
- Luggage and kit, such as laptops, banners and samples that are awkward on a train.
- Tight schedules, where a speaker or client must be somewhere at a set time.
- Client hosting, where a driver in arrivals with a name board sets the tone.
The table sets out the main options.
| Option | What the NEC and BHX say | Best for |
|---|---|---|
| Air-Rail Link and walk | Free, about 90 seconds, every two minutes | A light traveller from BHX |
| Train to Birmingham International | Five-minute walk to the NEC | Visitors from New Street or other stations |
| Taxi rank or Veezu | Ranks outside the main entrances, and Veezu points near all main entrances | One-off journeys on the day |
| Pre-booked chauffeur | Drop-off at the Piazza or Atrium | Planned arrivals, groups and multi-day events |
Where chauffeur cars stop at the NEC
What the NEC says
The NEC lists Veezu as its official private hire partner, with dedicated pick-up and drop-off points near all main entrances. Any other private hire provider drops off at the Piazza drop-off and pick-up area or at the Atrium entrance. Taxi ranks sit outside the main entrances, and the NEC’s site plan marks the private hire points.
NET isn’t the NEC’s official partner, so our cars use the Piazza or the Atrium. Your driver will know both, but tell us which hall you’re heading to, so we can advise which is closer.
Allow for the walk and the shuttles
Both drop-offs are a short walk from the main entrances, and the halls are large. Add walking time between your drop-off and your hall, especially for a speaker with a fixed slot. The NEC’s site plan also shows shuttle buses to the halls.
Step-free access and late finishes
If anyone has accessibility needs, ask us to tell the gate staff when we collect them. The NEC says it can then let the car through to the drop-off or pick-up point closest to the venue. For late finishes, agree your pickup point before the evening starts, and message your driver as you leave the hall.
Delegates: airports, stations and hotels
Arriving at Birmingham Airport
Our office is at Birmingham Airport, and flight monitoring and meet and greet are standard on airport bookings. Your driver waits in arrivals with a name board, and the pickup moves if the flight lands early or late. For a team landing on several flights, we can stagger the pickups and plan matched timing.
Arriving from other airports and cities
We also run transfers from Heathrow, Manchester, Gatwick, Luton and other UK airports, so a delegate can go from arrivals straight to the NEC. Share the flight number and the final destination, and we’ll fix the price before you travel.
From hotels to the halls
Hotels near the NEC differ more than the map suggests. The Hilton says it’s on the NEC campus, a seven-minute walk from Birmingham International. The NEC’s own site plan, however, advises a taxi or the Air-Rail Link for several of the nearby hotels. Ask your hotel how long the walk really takes, and book a transfer if the answer is longer than your schedule allows.
Groups of delegates
One V-Class takes seven passengers with seven bags. For a larger group, several cars with matched timing work better than one minibus when people arrive from different places. Our guide to minibus versus multiple chauffeur cars covers that choice for conference groups.
Speakers: arriving on time and leaving cleanly
Ask the organiser first
Speakers should ask the organiser for arrival instructions before the event. Find out where speakers check in, whether they need a pass, and whether there’s a speaker drop-off or VIP parking. The NEC’s site plan marks VIP parking, and access is usually arranged through the organiser. Send the answers to us, and we’ll brief the driver.
Build in a buffer
A keynote at 10am doesn’t mean arriving at 10am. Plan to arrive well before the session, with time for the walk from the Piazza or the Atrium. We can wait where the schedule calls for it, or you can book hourly hire for a day with several stops. Our hourly and full-day chauffeur hire page explains how that works.
Plan the return before you go in
Agree the pickup point and window when you book, and message your driver as the session ends. If a speaker has a dinner or a flight afterwards, add that leg to the same booking.
Exhibitors: build-up, show days and client dinners
Check your exhibitor manual
Build-up and breakdown times differ by show, and they’re usually set out in the organiser’s exhibitor manual. Share the early start times with us, because stand teams often arrive before the doors open to visitors. Tell us about display materials and boxes when you book, so we can pick the right vehicle.
People, not freight
A chauffeur car moves people and their bags. For pallets, crates or large stand builds, the organiser’s official freight contractor is the right route. If a stand manager is carrying samples or a banner, the V-Class has space for up to seven bags.
Client dinners and hosting
Many exhibitors host clients in the evening. A single booking can cover the NEC, the dinner venue and the return to the hotel, with the same driver. For a client arriving at the airport, meet and greet means a name board in arrivals.
Booking a whole event on one account
What a corporate account covers
For an event with many journeys, a corporate account is simpler than booking each one. It gives you fixed or pre-agreed rates, a dedicated account manager, and consolidated monthly VAT invoicing with journey-level detail. Multiple authorised bookers can arrange journeys on the same account, so the event manager and a PA can both book.
Who we send
Every chauffeur holds a valid private hire licence and has passed an enhanced DBS check. For employers, that’s a straightforward answer when someone asks how staff and guests are getting to an event.
If a business chauffeur looks like the better fit, our business chauffeur services page explains how corporate bookings work, with a fixed price agreed before you travel.
A sample plan for a three-day event
This table is an illustration. Adjust it for your event and follow your organiser’s instructions.
| Day | What to arrange | Planning point |
|---|---|---|
| Day before | Staggered arrivals from airports and stations | Flight monitoring moves each pickup with the landing time |
| Day 1 morning | Hotel to the Piazza or Atrium | Allow for the walk and the doors opening |
| Day 1 | Speaker slots and stand-team standby | Hourly hire or timed returns |
| Day 1 evening | Client dinner and return to the hotel | One booking for all three legs |
| Day 2 | Repeat the morning run | Keep the same pickup points |
| Final day | Departures to Birmingham Airport or other airports | Start earlier than your flight check-in suggests |
Before you travel
Check the NEC’s travel updates and National Highways for roadworks near junction 6 of the M42 before each event day. Our airport guide also explains how long to leave for BHX, if your delegates fly out straight after the show.
